What we collect when you book
The booking form asks for your name, company name if you have one, email address, phone number, the address the bin is going to, and a billing address if it differs. We also record what you told us about the job: bin size, waste type, what surface the bin will sit on, and any placement notes.
When you accept our rental terms, we additionally store the name you typed as your signature, the date and time, and the IP address you submitted from, together with a frozen copy of the exact wording you agreed to. That record exists so that if there is ever a disagreement about driveway damage or an overweight charge, both of us can see precisely what was agreed. It is the reason the waiver is worth anything.
What we collect when you send an enquiry
Your name, email, and optionally phone and city, plus your message and the IP address it came from.
Why we keep it, and for how long
We use it to schedule and deliver your bin, to contact you about the job, and to invoice you. Booking records, weight tickets and signed waivers are kept as business and tax records — Canadian tax rules generally require six years, and a signed waiver is only useful for as long as a claim could be brought. Enquiries that never become bookings are kept only as long as they are useful and then deleted.
Who else sees it
- Our web host stores the website and its database on servers in Canada or the United States.
- QuickBooks Online (Intuit) receives your name, contact details, billing address and invoice lines, but only once accounting sync is switched on and only for customers we actually invoice.
- The Region of Waterloo Waste Management facility weighs and disposes of the load. They receive the load, not your details.
- Google Fonts serves the typefaces this site uses, which means your browser contacts Google to fetch them.
We do not sell your information, and we do not share it for advertising.
Photos
Photos of completed jobs may appear in our gallery. Before publishing, every image is re-encoded, which removes the embedded metadata — including any GPS location the camera recorded. We avoid publishing photos that identify a house or a person. If a photo of your property is on our site and you would rather it wasn’t, tell us and we’ll take it down.
Cookies
This site sets one cookie, and only for staff signing into our internal job board. There is no advertising or analytics tracking on this site, so there is nothing here to opt out of.
Payment details
Payment is by e-transfer, cash or credit card handled directly between you and us. We do not store credit card numbers on this website.
Your choices
You can ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it. Email info@rentcubins.ca or call 226-748-3580 and we’ll sort it out.
One limit worth being upfront about: where a record is one we’re required to keep — an invoice, or a signed waiver relating to a job we completed — we may not be able to delete it until that obligation expires. We’ll tell you if that’s the case rather than quietly ignoring the request.
Changes
If this policy changes we’ll update the date at the top. Material changes will be obvious rather than slipped in.
